FY 2018-19 and 2019-20 Adopted Operating and CIP Budget

• Continued to mentor and train employees in the processing of California Public Records Act requests, the Brown Act, website agenda posting, minutes production, City Council meeting follow-up, and indexing of historical documents • Continued partnership with the Santa Clara Valley Habitat Agency (Agency) to provide the following services: o Administrative Services Agreement to provide Agency Board clerk services, including agendas and minutes o Property Use Agreement providing office space for the Agency Office, including working with the Information Services Division to renovate the office space for lease • Continued partnership with the United States Department of State, Passport Agency as a Passport Acceptance facility processing over 1,800 passport applications during the federal fiscal year and acknowledged by the United States Department of State, Passport Agency as a facility that is performing at an outstanding level and provides an excellent service to the community Update and implement the City’s Retention Schedule in conjunction with the City Attorney’s office (Maintaining Fiscal Responsibility, Preserving and Cultivating Public Trust, Protecting the Environment) • Continue to provide tours of City Hall and Council Chamber to the various schools and youth groups within the community (Supporting our Youth, Seniors and Entire Community) • In conjunction with Community Engagement, explore the possibilities of providing City Council agendas in Spanish (Preserving and Cultivating Pubic Trust, Community Engagement and Messaging, Enhancing Diversity and Inclusiveness) • Continue partnership with the Santa Clara Valley Habitat Agency (Regional Initiatives) • Continue representation of Morgan Hill through participation in regional associations relating to Council Services and Records Management such as: MMANC (Municipal Managers Association of Northern California), Northern Division CCAC (City Clerk’s Association of California), and Northern Division ARMA (Association of Records Managers and Administrators) (Regional Initiatives) • Continue to respond to Public Record Requests in a timely manner (Preserving and Cultivating Public Trust) • Continue to provide the City Council agendas to the public in a variety of media (Preserving and Cultivating Public Trust) Council Services & Records Management (continued) FY 2018-19 and 2019-20 Activity Goals •
